Building the Workflow
The first step is to identify the trigger for your workflow. Integrations with Zendesk, Jira, or a Google form are typical here.
Once the trigger of your choice is connected to BetterCloud, you can use branching workflow logic to automate the provisioning process and even add approval steps.
The above example utilizes the Zendesk extended integration path to trigger a workflow when a Zendesk form is filled out. Then, you are able to set an IF condition for the various branches of the workflow based on the Requested App field and then provision the user an account in that application.
The Find User by Email action can be used to help identify the proper user account that needs to be targeted. In the example above the Find User by Email action is used to target the proper Google account whose data is used to populate information into the Zoom Create User action.
Handling multiple applications
This logic can be extended to multiple applications within one workflow providing a one-stop-shop for app requests. For example, one workflow can handle a request for Salesforce and Github access as seen in this example:
Built-in approval
example, it may be necessary to request approval before provisioning a user’s account. This can be accomplished in any workflow via the Wait for Response action. This action will send an email to a specified account (either a static address or dynamically to the user’s manager) which will provide up to 5 options that can take different logic paths.
The simplest example has two options, one which approves access and one that denies access. You can configure a workflow to provision the account for the specified app when the approval button is selected, or notify the user via email or Slack that they have been denied access and where to reach out to for more information if the deny option is selected.
